What is an AI Assistant?
An AI Assistant is a pre-built automation that triggers when specific documents are downloaded from your carrier portals. Each assistant is configured to recognize certain document types (such as renewal notices, endorsements, or cancellation notices) and policy types (personal or commercial lines), then automatically performs actions like matching policies in your AMS, creating tasks, or sending notifications.
Eventual manages all AI Assistants on your behalf, ensuring they stay up-to-date and perform optimally without requiring any technical setup from your team.
Viewing Your AI Assistants
To access your AI Assistants: 1. Click AI Assistants in the left sidebar navigation 2. You'll see a dashboard displaying all available assistants as cards
Each assistant card shows: - Name and description of what the assistant does - Tags indicating the types of documents and policies it handles - Managed by showing Eventual maintains the assistant - Last run date when the assistant was last triggered - Total runs count of how many times the assistant has processed documents
You can use the search bar at the top to quickly find specific assistants by name or description.
Assistant Statistics
At the top of the page, you'll find summary statistics:
Statistic | Description |
Active AI Assistants | Number of assistants currently enabled for your agency |
AI Runs | Total number of document processing runs across all assistants |
Viewing Assistant Details
Click on any assistant card to view its full details. The details page includes two tabs:
Manage Tab
The Manage tab displays the workflow configuration: - Trigger conditions - Shows what document type and policy type will activate this assistant - Action steps - Lists the automated actions the assistant performs, such as matching policies in your AMS or creating tasks
AI Runs History Tab
The AI Runs History tab shows a complete record of every time this specific assistant has processed a document, including: - Run time and date - Document name and type - Document information (policy number, client name) - Processing status - Action steps completed
Understanding AI Runs
An AI Run represents a single instance of an AI Assistant processing a document. Every time a document is downloaded from a carrier portal and matches an assistant's trigger conditions, a new AI Run is created.
Viewing All AI Runs
To see all AI Runs across all assistants: 1. Navigate to Review in the left sidebar 2. Select AI Runs from the submenu
The AI Runs page displays a comprehensive table showing:

Run Time | When the document was processed |
AI Assistant | Which assistant handled the document |
Document | The document type and filename |
Document Info | Policy number and client name extracted from the document |
Matched Policy | The policy matched in your AMS (or "Policy not matched" if review is needed) |
Status | Current processing status |
Steps | Last completed action and next pending action |
Actions | Available actions based on run status |
AI Run Statuses
Each AI Run has one of three statuses:
Status | Meaning |
In Progress | The assistant is currently processing the document |
Completed | All actions finished successfully |
Failed | An error occurred during processing |
Filtering AI Runs
Use the Add Filter button to narrow down your view by: - Status (In Progress, Completed, Failed) - AI Assistant - Document Type - Policy Type - Carrier - Branch - Created Date
Active filters appear as badges next to the filter button. Click Reset Filters to clear all selections.
Taking Action on AI Runs
Depending on the run status, different actions are available: - Find Match - Appears when a document couldn't be automatically matched to a policy. Click to manually review and match the document. - Details - View the complete history and information for a completed run - Retry - Attempt to process a failed document again
AI Run Details Panel
Click Details on any AI Run to open the details panel, which shows: - Document preview thumbnail - Run date, time, and status - Matched policy and client information (with links to your AMS if available) - The AI Assistant that processed the document - Complete processing history with timestamps for each action
Document Review Settings
By default, AI Assistants automatically process documents as soon as they're downloaded. However, you can enable manual review to confirm document and policy types before any workflow triggers.
To configure this setting: 1. Go to Settings in the left sidebar 2. Select Document Retrieval 3. Toggle Enable Document Review on or off

Document Review OFF | Documents are automatically processed by AI Assistants immediately after download |
Document Review ON | Documents require manual review and confirmation of document type and policy type before triggering any AI Assistant workflow |
Note: When Document Review is enabled, you'll need to review documents in the Review > AI Runs section before assistants will process them.
Tips for Getting the Most from AI Assistants
Connect your carriers first - AI Assistants can only process documents from carriers you've connected to the Eventual Platform
Review failed runs promptly - Check the AI Runs page regularly to retry any failed processing or manually match documents that couldn't be auto-matched
Use filters effectively - When troubleshooting, filter by status "Failed" to quickly find runs that need attention
