How Email Forwarding Works
When you set up email forwarding, emails sent to your agency email address are automatically forwarded to a dedicated Eventual Platform email address assigned to your agency. This dedicated address securely receives your documents and routes them to the appropriate workflows.
For security reasons, forwarding can only be set up from email addresses associated with your agency's domain.
Finding Your Dedicated Email Address
Your agency has a unique dedicated email address for receiving forwarded documents.
To find your dedicated email address:
Go to Settings > Email Forwarding in the Eventual Platform
Your dedicated email address is displayed on the page
Tip: Click the copy icon next to the email address to copy it to your clipboard.
Setting Up Email Forwarding
Before You Begin
You'll need: - Administrator access to your email system (Microsoft Exchange, Google Workspace, or similar) - Your dedicated Eventual Platform email address - The agency email address(es) that receive documents from carriers
Step 1: Identify Source Email Addresses
Determine which email addresses at your agency receive documents or OTPs from carriers. These might include: - Individual user inboxes (e.g., [email protected]) - Shared inboxes (e.g., [email protected])
Step 2: Create Forwarding Rules
You'll need to create a forwarding rule in your email system that sends a copy of incoming carrier emails to your dedicated Eventual Platform email address.
Instructions for Microsoft Exchange
Sign in to the Exchange Admin Center
Navigate to Mail flow > Rules
Click Add a rule > Create a new rule
Configure the rule: - Name: Forward to Eventual Platform - Apply this rule if: The sender's domain is... (enter carrier domains) - Do the following: Forward the message to... (enter your dedicated Eventual Platform email)
Click Save
Note: Contact your IT administrator if you don't have access to the Exchange Admin Center.
Instructions for Google Workspace
Sign in to the Google Admin Console
Navigate to Apps > Google Workspace > Gmail > Routing
Click Add another rule under Content compliance or Routing
Configure the rule to forward matching emails to your dedicated Eventual Platform email address
Click Save
Step 3: Test Your Forwarding Setup
After configuring your forwarding rules:
Go to Settings > Email Forwarding in the Eventual Platform
Enter the agency email address(es) you configured for forwarding
Click Test Email Forwarding
The system will send a test email and verify it arrives at your dedicated address
Note: Testing may take up to 2 minutes to complete.
Best Practices
Tip: Set up forwarding for shared inboxes rather than individual mailboxes. This ensures documents are captured even when team members are unavailable.
Tip: Regularly review your Inbox to process pending documents and keep your workflow current.
Tip: If you have multiple agency email addresses receiving carrier documents, set up forwarding rules for each one.
